Global Business System for Major International Fragrance Manufacturer
Brief : A global
specialty chemicals company, and one of the world's largest
producers of fragrances, creates fragrances that are used in everything from
bleach to after-shave. Central to their success is the innovative creation
of fragrances to meet individual customer requirements and the ability to
meet the increasingly global demands of their core clients.
The inability of their existing system to meet their changing requirements
prompted a review of their business processes in a drive for improved
customer response and efficiency. They wanted their systems to promote the
teamwork required to enable them to compete at a global level, thus giving
them a competitive advantage against their competitors. In addition, the
demands of existing and potential customers required that they streamline
their processes in order to compete effectively.
The flexibility and degree of world-wide co-operation needed for their
business systems led them to redevelop their core business-winning system in
Lotus Notes. The resulting Lotus Notes system receives sales briefs entered
by sales people around the world. These briefs are then allocated
automatically to the appropriate team for fragrance development and
selection. The teams are able to invite specialists from the same site or
other sites to participate in development. The facilities of Lotus Notes
allow the development team to work collaboratively to a conclusion. During
the development process, additional information can be imparted by the
salesperson using text, photographs and even videos of the product hat will
eventually contain the fragrance. Timely action by relevant personnel is
ensured using the workflow features of Lotus Notes. Finally, the results of
the development are automatically relayed back to the original salesperson.
Technology : To maintain data integrity throughout the
organization, the system uses
information from a corporate relational database held at a central site.
Information in Lotus Notes is synchronized with the relational database. As
well as providing core corporate data to the Lotus Notes system, this allows
information input into Lotus Notes to be used in other systems.
The system has improved customer service by allowing an improved response.
It enables fragrances to be developed to meet the demands of global
customers. As a direct result of the new system, the company has been able
to win new business and increase its attractiveness to existing customers.
Call-Tracking System for Small Call Center
Brief: A UK-wide company
specializes in organizing building maintenance and repairs
for retail and commercial organizations. They were so successful that they
were unable to ensure that urgent jobs received the attention that they
needed, and were struggling to manage the volume of paper that accumulated
with each new job. The company wanted a computer-based system that would
allow everyone in the company to be able to work easily on the jobs in
progress. Never having had a computer system previously, they were unsure
what demands they would make of the system in the future.
Technology : The company chose us to build a bespoke system in Lotus Notes to
track all of the incoming work. The system handles both quotations and jobs,
which are tracked through their various stages by the call center. Jobs in
danger of being late are highlighted to the management to ensure they are
progressed quickly. The workflow within the new system encompasses clients
and associates who do not have access to Lotus Notes as well as those who
do. This is done through the use of an add-on product, Domino Fax Server,
which allows faxes to be sent automatically.
After the system was installed and running, the company realized that they
had a significant competitive advantage because they could automatically fax
summaries to clients on a daily or weekly basis. They also realized that
they could use the built-in mail facilities of Lotus Notes to allow e-mail
communication between themselves and their clients and associates.
The system is inherently flexible, and the company is constantly devising
new ways to improve the service it gives to its customers. Since the system
can accommodate the differing demands of customers, it has given the company
a unique selling point. The system provides a means for the company to scale
their operations during their growth. Because of their success, the company
has grown by 300% in two years.

analyses the major problems being faced by the citizens of a
particular geographic region. Exception reports are a handy tool
to the management, which has been a major part of the
application.
Technology
:
